Privacy Policy

1. Scope

This Privacy Policy describes how Project Support Services (“PSS,” “we,” “us,” or “our”) collects, uses, discloses, and otherwise processes personal information in connection with the careers website at joinpss.com (the “Site”), including when you browse job postings, submit an application, or contact us about opportunities. It also describes certain rights available to California residents under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, “CCPA”).

This policy does not apply to information collected offline or on websites or services that we do not control. If you are a PSS employee or contractor, separate notices may apply to HR data.

2. Personal information we collect

Depending on how you interact with the Site, we may collect the following categories of personal information:

  • Identifiers — such as name, email address, telephone number, and online identifiers associated with your device or browser.
  • Professional or employment-related information — such as work history, skills, certifications, education, and other details you include in a resume, cover letter, or application form.
  • Internet or other electronic network activity — such as IP address, browser type, general location derived from IP, and information about how you navigate the Site (for example, pages viewed and approximate timing), collected through server logs and essential cookies or similar technologies.
  • Information you provide voluntarily — such as the content of messages or forms you submit to us.

If you create or use an account on our administrative tools (for authorized PSS personnel only), we may also collect account identifiers, profile information (such as name and profile image), and authentication data through our identity provider.

3. Sources of personal information

We obtain personal information from:

  • You — when you submit an application, upload a resume, enter contact details, or communicate with us.
  • Automatic collection — when you visit the Site (for example, through cookies, logs, and similar technologies used for security and basic functionality).
  • Service providers — for example, cloud hosting, database, file storage, and authentication vendors that process data on our behalf under our instructions.

4. How we use personal information

We use personal information for purposes such as:

  • Operating, maintaining, and improving the Site;
  • Receiving, reviewing, and processing job applications and recruiting candidates for roles at PSS;
  • Communicating with you about your application or inquiries (for example, scheduling or status updates);
  • Authenticating authorized users of internal recruiting tools;
  • Protecting the security and integrity of the Site, our systems, and our users;
  • Complying with legal obligations, responding to lawful requests, and establishing, exercising, or defending legal claims;
  • Aggregating or de-identifying information where permitted by law.

We do not use the Site to sell your personal information as “sell” is commonly understood in everyday language. Our use of personal information is described further in the CCPA sections below.

5. Disclosure of personal information

We may disclose personal information to the categories of recipients below:

  • Service providers and processors — vendors that host the Site, store application data and resumes, provide database and backend infrastructure, and provide sign-in and account services for our internal team. We currently use providers such as Convex (application data and file storage) and Clerk (authentication for administrative access). These providers may only use your information as instructed by us and subject to contractual obligations.
  • Professional advisors — such as lawyers or auditors, where appropriate.
  • Authorities — when required by law, legal process, or to protect rights, safety, or security.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to applicable law.

6. Notice at collection (California)

If you are a California resident, the CCPA requires us to disclose certain information about our practices at or before collection. The categories of personal information we collect are described in Section 2. The business and commercial purposes for collection are described in Sections 4 and 5.

Sensitive personal information. Depending on what you submit, your application may include information that could be treated as sensitive under the CCPA in some contexts (for example, account log-in credentials for our admin tools, or certain information in a resume). We use such information only for reasonable business purposes compatible with the context of collection, such as recruiting, account security, and compliance with law, and we do not use sensitive personal information to infer characteristics about consumers for unrelated profiling beyond what is permitted by the CCPA.

7. Sale and sharing of personal information

We do not sell your personal information for monetary or other valuable consideration. We do not share personal information for cross-context behavioral advertising as defined under the CCPA. If our practices change, we will update this Privacy Policy and provide any required notices or choice mechanisms.

8. Your California privacy rights

If you are a California resident, you may have the following rights, subject to certain exceptions:

  • Right to know / access — request information about the categories and specific pieces of personal information we have collected about you, and how we have used and disclosed that information.
  • Right to deletion — request deletion of personal information we collected from you, subject to legal exceptions.
  • Right to correction — request correction of inaccurate personal information we maintain.
  • Right to opt out of sale or sharing — we do not sell or share personal information for cross-context behavioral advertising as described above; if that changes, we will describe how to opt out.
  • Right to limit use of sensitive personal information — where applicable, you may have the right to limit certain uses of sensitive personal information; we use sensitive information only as permitted by the CCPA and described in this policy.
  • Non-discrimination — we will not deny services, charge different prices, or provide a different level of service solely because you exercised your privacy rights, except as permitted by law.

How to submit a request. You may submit a request by emailing recruiting@psscert.com with “Privacy Request” in the subject line, or by calling (714) 602-8400. We will verify your request in accordance with applicable law, which may require confirming information you previously provided to us. You may designate an authorized agent to make a request on your behalf where permitted by law; we may require proof of authorization.

Appeals. If you are denied in whole or in part in response to a request, you may appeal our decision by contacting us at the same email address and describing your appeal.

9. Retention

We retain personal information for as long as reasonably necessary to fulfill the purposes described in this policy, including to process applications, manage recruiting records, resolve disputes, and meet legal, tax, and regulatory obligations. Retention periods vary depending on the nature of the information and applicable law.

10. Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, or misuse. No method of transmission over the Internet or electronic storage is completely secure; we cannot guarantee absolute security.

11. Children

The Site is not directed to individuals under sixteen (16) years of age, and we do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will take appropriate steps to delete it.

12. International users

The Site is operated in the United States. If you access the Site from outside the United States, you understand that your information may be processed in the United States, where privacy laws may differ from those in your country.

13. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top indicates when it was last revised. We encourage you to review this page periodically. Your continued use of the Site after changes become effective constitutes your acceptance of the updated policy, to the extent permitted by law.
